Pandemia zaskoczyła wszystkich – zarówno dostawców rozwiązań do druku i zarządzania obiegiem dokumentów, jak i ich klientów. Musieli oni szybko odnaleźć się w nowej sytuacji i zaadaptować do niej. Przykładowo, specjaliści warszawskiej firmy integratorskiej Ediko drastycznie przemodelowali swoją usługę druku zarządzanego (Managed Print Services, MPS). Wcześniej namawiali klientów do optymalizacji, w tym rezygnacji z mniejszych urządzeń na rzecz wydajniejszych i tańszych w eksploatacji dużych rozwiązań. W nowej sytuacji zaoferowali urządzenia do domu, kompaktowe, ciche, łatwe w obsłudze, ale z linii biznesowych, aby nie narazić klientów na duże koszty TCO. Rozwój sytuacji zaczął też sprzyjać dostawcom systemów usprawniających zarządzanie obiegiem cyfrowych dokumentów.

Jednocześnie w przypadku wielu firm zmniejszyło się zapotrzebowanie na wydruki, ale trend ten nie dotyczył wszystkich sektorów gospodarki. Przykładowo, branża budowlana przeżywała wręcz boom zakupowy, bo zamknięci w domach ludzie zaczęli niemal masowo robić remonty. Składy budowlane drukowały zatem więcej niż w poprzednich latach. Sytuacja pod tym względem wraca zaś do normy w placówkach handlowych (przede wszystkim zlokalizowanych w galeriach). Drukują one coraz więcej katalogów, ulotek czy opasek na towary. W związku z większą liczbą kupujących pojawia się też coraz więcej drukowanych paragonów i faktur.

Większa integracja, większa dostępność

Pandemia prawdopodobnie w największym stopniu zmieni sposób, w jaki korzysta się z druku w biurach. Ponieważ wiele firm będzie funkcjonować w bardzo rozproszonym środowisku, konieczne stanie się zapewnienie pracownikom łatwego dostępu do dokumentów i zawartych w nich informacji. Jest to możliwe dzięki wykorzystaniu w szerokim zakresie rozwiązań chmurowych. Potrzebne też będą skuteczne mechanizmy współużytkowania zasobów danych czy integracji całych cyfrowych środowisk przetwarzania informacji.

Niezwykle ważną kwestią będzie również zapewnienie bezpieczeństwa wszystkich przetwarzanych w chmurze dokumentów, danych i informacji oraz ochrona wykorzystywanej do tego celu infrastruktury i urządzeń. Cyberbezpieczeństwo systemów pracy zdalnej, obok ich wydajności i funkcjonalności, staje się jednym z najważniejszych wyzwań w przyspieszających coraz bardziej procesach cyfryzacji. Integratorzy wdrażający rozwiązania do zarządzania dokumentami muszą te kwestie brać pod uwagę przy tworzeniu swoich planów biznesowych na przyszłość.

Ponadczasowy rachunek ekonomiczny

Jak zatem będą rozkładały się akcenty w zakresie preferowania przez klientów poszczególnych modeli biznesowych – zakupów urządzeń bądź korzystania z usług druku i zarządzania infrastrukturą? Czy obecna sytuacja wpłynie w jakiś sposób na zwiększenie zainteresowania jedną lub drugą opcją? Wydaje się, że podstawowym kryterium wyboru pozostanie aspekt ekonomiczny. COVID-19 i spowodowane przez pandemię konsekwencje rynkowe prawdopodobnie nic w tej materii nie zmienią. Przy czym koszty druku są szczególnie ważne dla polskich przedsiębiorców z sektora małych i średnich przedsiębiorstw. Rodzimi resellerzy i integratorzy od lat podkreślają, że w tym segmencie cena ma decydujące znaczenie. Potwierdziły to też opublikowane na początku tego roku wyniki badania przeprowadzonego przez firmę Ricoh. Pandemia przyczyni się do jeszcze większego wzmocnienia tego typu postaw. W warunkach niepewności inwestycyjnej przedsiębiorcy bardziej uważnie będą oglądać każdą złotówkę, zanim zdecydują się na jej wydanie.

Wśród małych i średnich firm w Polsce najbardziej popularne są urządzenia wielofunkcyjne. I to się nie zmienia, natomiast klienci, kierując się oszczędnościami w związku z niepewną sytuacją rynkową, wybierają jednak coraz częściej urządzenia poleasingowe zamiast nowych. Jeden system i jedna obsługa

Z dużą dozą pewności można uznać, że środowiska druku dokumentów i ich obiegu w wersji elektronicznej będą się coraz bardziej ze sobą mieszać i integrować. Proces ten będzie w coraz większym zakresie wymagać od integratorów łączenia umiejętności zarządzania obydwoma obszarami. Z punktu widzenia klienta najlepiej, żeby jeden podmiot zajmował się całością zadań związanych z zarządzaniem dokumentami. W sytuacji, gdy każda drukarka, skaner, czy urządzenie wielofunkcyjne mogą być punktem wprowadzania dokumentu do obiegu elektronicznego, nie wystarczy już obsługa polegająca jedynie na dostarczaniu materiałów eksploatacyjnych czy dokonywaniu napraw serwisowych.

Klienci w coraz większym stopniu będą oczekiwać od integratorów także wsparcia przy tworzeniu i optymalizowaniu funkcjonowania systemów zarządzania dokumentami. Będzie potrzebna jedna firma do obsługi jednego, zintegrowanego systemu obiegu i udostępniania dokumentów za pośrednictwem różnych kanałów. Wartością dodatkową może być też oferowanie odbiorcy biznesowemu systemu sprawnego wyszukiwania informacji w przetwarzanych dokumentach, podobnie jak zapewnienie bezpieczeństwa dokumentom i informacjom, w sytuacji, kiedy swobodnie korzysta z nich wielu użytkowników znajdujących się w coraz bardziej rozproszonych lokalizacjach.

Przewidujemy, że kluczowy dla oceny finansowej tego roku będzie ostatni kwartał. Wtedy przedsiębiorcy często decydują się na inwestycje w sprzęt, a dodatkowo jest to okres wzmożonej aktywności w sferze budżetowej.
